Hey AI Productivity Explorer,
Happy New Year!
Welcome to 2025 and I am excited to start the year with a deeply beneficial post that can make your new year super productive.
I want to start with a quick backstory of one of my service business clients.
Meet Matt, a hardworking CEO of a thriving digital service business. His company offered social media marketing services, and because of its custom offering, it had grown quickly, thanks to its focus on a specific niche.
I joined his executive advisory board, and within a few weeks of joining, I noticed he looked frustrated one day.
I asked him “Matt, is everything all right?”
He said “I built this business because I love helping my clients grow, but now I feel like I’m constantly putting out fires. I don’t even have time to think about the future of my own business.”
His words stuck with me.
Although his business was growing at a healthy rate his day started with a flood of emails and endless client demands. By midday, he was juggling appointments and reviewing issues with deliverables.
In the evenings he spent time with his finance team chasing overdue invoices and tying up loose ends he couldn’t get to earlier.
Sound familiar?
Matt’s story isn’t unique. Like many service business owners, he was stuck in what I call the CEO Cycle of Overwhelm. Although Matt was not a control freak, he couldn’t break free from day-to-day operations to focus on what truly mattered i.e. scaling his business and planning for its future.
We decided to work together to implement a delegation system in place.
He was cost conscious so I didn’t recommend hiring a massive team or spending thousands on consultants. Instead, we worked together in using a combination of existing team and AI automation to take the weight off his shoulders.
Here’s what we focussed on:
Identify where Matt is on the 6 levels of delegation and develop a plan to become a Quantum Delegator.
Creating a custom CEO GPT that can manage manage communication, data analysis, admin support, and task management.
Automation of his client follow-ups, freeing 10+ hours of his team’s time.
Streamlining the workflow from subscription to invoicing system so he can get paid faster.
Getting crystal-clear insights into his most profitable clients and services, helping him focus on what really mattered.
Within six months, Matt not only felt like he had his business under control but also started hitting new revenue milestones without sacrificing his sanity.
The reason I wanted to bring this up is because running a service business is incredibly rewarding, but let’s not sugarcoat it. It’s also incredibly demanding. You’re expected to manage clients, lead your team, keep an eye on finances, and somehow find time to strategize for the future.
It’s a lot. And if you’re trying to do it all yourself, it’s no wonder burnout feels just around the corner.
In this issue of Solve with AI, I’ll show you exactly how a custom CEO GPT can transform your business. From improving client communication to streamlining operations and gaining financial clarity. We will go beyond theory and create a customer GPT and I will give you my custom AI personalization template that will blow away basic AI response out of park.
Challenges of Leading a Service Business
Most CEOs don’t talk about the behind-the-scenes struggles. Maybe it is considered taboo to talk about the hustle because in our social media heavy culture people will think you are weak.
But let’s be real for a moment.
Your day starts before the sun is up. Emails are already piling up, with clients asking for updates, team members needing direction, and vendors waiting for approvals. By the time you’ve grabbed your second coffee, your calendar is dictating your day with back-to-back meetings.
Evenings?
Forget about it. That’s when you tackle the admin work you didn’t get to earlier.
When you’re in the weeds like this, it’s hard to focus on the big picture.
Time is your most valuable currency. Every minute spent juggling client expectations or fixing team bottlenecks is a minute not spent thinking about growth, strategy, or innovation.
But it’s not just about time. Let’s talk about a few core challenges service business CEOs face every day:
Client Satisfaction: Happy clients are the heartbeat of your business, but keeping them satisfied requires consistent follow-ups, quick responses, and personalized attention. Miss a beat, and it can damage trust and that’s not something you can afford.
Scaling Struggles: Growth often means more complexity. Adding new clients or projects creates operational strain, and without the right tools or processes, scaling can feel overwhelming.
Financial Clarity: It’s easy to know your revenue numbers, but do you know which clients or services are your most profitable? Are you tracking expenses in real-time, or are you relying on gut instinct to make decisions?
Team Management: Even the best teams need direction. You’re answering questions, solving problems, and checking in on tasks, all while trying to keep morale high and workflows smooth.
The reality is the weight of running a service business rests squarely on your shoulders. And that’s why so many CEOs feel stuck.
Here’s the truth most people won’t tell you. The problem isn’t your dedication, your skills, or even your systems. The problem is that you’re doing too much yourself.
Let it sync for a moment.
You’re trying to hold everything together with sheer effort when what you really need is leverage.
I know because I have been in the trenches multiple times. I was chasing employees, invoices, and complaints while staying on top of strategy and operations.
The good news is with AI, you can let go of the day-to-day grind and focus on what matters most. Let’s explore how AI can transform your business from the ground up with delegation superpowers you will not want to live without.
